Privacy Policy

Last updated: 2026-09-23

This policy explains how AETERNA1 LTD collects, uses, stores and protects your personal data on the Aeterna1 platform. The company responsible for your data (the data controller) is AETERNA1 LTD, a company registered in England and Wales under number 17456306, address: Suite 11210, 5 Brayford Square, London, E1 0SG, United Kingdom. Contact: support@aeterna1.com.

1. What data we collect

Account data: first name, last name, gender, date of birth, email, the language you choose, the country you live in, your time zone and the languages you speak. First name, last name, gender, date of birth and email are required to open an account and to run calculations; without them we cannot provide the service.

Family profiles: the names and dates of birth you enter for your loved ones. Please enter this data only if you are entitled to share it.

Purchase and usage data: orders, bookings, subscriptions, messages, reviews and technical records (for example, device and browser type, IP address and error records).

Live sessions: sound and video are transmitted in real time during a session. In translated sessions, speech is automatically converted to text and translated.

Payment data: card details are processed directly by Stripe and we do not store them. We only see the result and the amount of the payment.

Data from other sources: if you sign in with one of the social account services shown on the sign-in page, that service passes on only the data you allow: your name, email address and profile picture. We never post anything on your behalf and never write anything to that account.

Help centre statistics are anonymous: search words are kept in a shortened form, without an account identifier or IP address. An IP address is held in memory for a short time only, to prevent abuse.

2. How and on what legal basis we use your data

Performance of a contract: managing your account, running calculations, personalising calendar messages, carrying out purchases, bookings and live sessions, and processing payments and refunds.

Legitimate interests: security, fraud prevention, improving the quality of the service and anonymous statistics.

Legal obligation: keeping accounting and tax records and responding to lawful requests from public authorities.

Consent: a video recording of a live lesson is made only when every participant in the room has given consent. You can withdraw your consent at any time.

The languages you speak are used to recognise your speech in a live session and to decide which language you are translated into.

Dates of birth and family profiles are used only to provide the service. We do not sell your data and we do not give it to third parties for advertising.

3. Automated processing

Live translation and speech-to-text are carried out with automated tools and are used only to provide the translation service. We do not make automated decisions about you that have legal or similarly significant effects.

4. Who we share data with

Masters: the data needed to deliver the service you bought (for example, your name, your order and your messages).

Payment service: payments are processed by Stripe. Stripe uses information about your device and your payment to provide and improve its services, including to prevent fraud. Stripe's privacy policy: stripe.com/privacy.

Technical service providers: hosting and database, email delivery, video calls, automated translation and speech recognition. They process data only on our behalf and on our instructions.

Public authorities: only on the basis of a lawful request.

5. Transfers of data outside the United Kingdom

Our main database is located in the European Union. The United Kingdom recognises the countries of the European Economic Area as providing adequate data protection.

Some service providers may process data in the United States. Such transfers rely on safeguards recognised by UK law: the provider's participation in the UK Extension to the EU-US Data Privacy Framework, or standard contractual clauses. You can ask for a copy of these safeguards at support@aeterna1.com.

6. How long we keep data

Account data is kept for as long as your account is open.

Live lesson transcripts and in-room chat are kept for 30 days, and lesson video recordings for 90 days; they are then deleted automatically.

When you close your account, your name, photo, date of birth, family profiles, messages and other personal data are deleted. Order and payment records are kept, no longer linked to your name, for as long as accounting and tax law requires. The text of a review you wrote stays, without your name.

Technical records are kept for as long as needed for security and for fixing errors.

7. Your rights

You have the right to access your data, to correct and delete it, to restrict its processing, to receive a copy of your data in a machine-readable format and to withdraw your consent at any time.

Right to object: you can object at any time to processing we carry out on the basis of legitimate interests.

You can change your profile data and close your account in the settings. For any other request, write to support@aeterna1.com. We answer requests within one month.

You can first send us a complaint about your data: through the «Support» form in your panel or to support@aeterna1.com. We acknowledge receipt of a complaint within 30 days.

If you are not satisfied with our answer, you can complain to the UK data protection regulator (ICO, ico.org.uk) or to the relevant authority in the country where you live.

8. Age limit

The platform is for people aged 18 or over. Your date of birth is checked when you register, and people under 18 cannot register.

You may add a child's name and date of birth to a family profile only as a parent or legal guardian, for the purpose of a calculation.

9. Cookies

Essential cookies: to keep you signed in, to keep your session and for security. They are kept until you sign out or the session ends.

Cookies that remember your choices: language, colour theme and the profile selected in the calendar. They are kept for up to one year.

If you arrive through an invitation or sharing link, a cookie that remembers who shared the link is set. It is kept for 30 days.

All of these cookies belong to our site. We do not use advertising or tracking cookies. On the payment page, Stripe uses its own cookies to prevent fraud. You can delete cookies in your browser settings.

10. Security

Data is transmitted over encrypted channels. Access permissions are role-based and financial transactions are recorded.

11. Changes

We may update this policy. We announce important changes on the platform.
